Job Description:
Registration ReceptionistPrimary Purpose:Under the supervision
of the Group Practice Manager, delivers a respectful and welcoming
arrival to patients and visitors and supports a variety of duties
related to patient services and visitor registration.Essential
Functions:1. Welcome patients and visitors to the School of
Dentistry; direct and patients and visitors to appropriate
area/department as necessary; communicate with clinic or office
personnel for non-clinic visitor arrivals.2. Triage and direct
patients to appropriate department or individuals; observe and
ensure the smooth flow through the patient entrance, registration
area and check-in kiosk; report issues to Public Safety,
appropriate department or individual immediately. Communicate and
work closely with Group Practice Receptionists and Coordinators to
ensure smooth flow of patients.3. Assist patients and visitors in
understanding the check-in process; provide kiosk and entry
instructions as needed; contact appropriate department for entry
system errors or issues.4. Answer phone calls, retrieve and respond
to voicemail messages, forward messages to appropriate recipient;
conduct pre-screening calls to new patients as needed.5. Maintain a
clean and orderly work area; organize supplies and forms at the
reception desk.6. Register and interview Main Clinic new patients
and emergency walk-ins; ensure all necessary forms are completed
and signed by patients; enter/verify and update demographic
information into clinic management system; scan required ID,
insurance card and other documents into patient's electronic chart
record; verify Denti-Cal eligibility and enter into patient's
electronic chart record; review clinic policy, general information
and main clinic protocols with potential patients; determine if
patient qualifies for screening or refer patients to appropriate
agency as needed7. Respond to requests by clinic staff for
additional information and/or documentation required for chart
completion; communicate and follow-up with appropriate personnel to
facilitate resolution.8. Perform all other duties as assigned by
the Group Practice Manager.Minimum Qualifications:Knowledge of:1.
Reception and customer service techniques.2. Dental terminology.3.
Dental insurance billing policies and procedures.4. Basic knowledge
of Microsoft Word and Outlook.Experience:Minimum of two years
intake receptionist experience in dental school or dental group
practice.Education:High school diploma or equivalent.Working
Conditions:1. Position is 7.5 hours per day, five days per week.2.
Must be available to work varying shifts including evening
clinic.Preferred Qualifications:Knowledge of:aXiUm dental software
program or other clinic patient information system
desirable.Ability to:1. Communicate professionally, effectively and
courteously with patients, faculty, students, and staff. 2.
Maintain a professional and caring demeanor at all times,
particularly in stressful situations.3. Apply effective patient
management and time management skills.4. Demonstrate ability to
recognize and control volatile situations.5. Demonstrate problem
solving and follow-through skills.6. Demonstrate ability to be
flexible and accommodating when changes happen upon short notice.7.
Be sensitive and attentive to patient and visitor's request and
needs.8. Manage multiple job responsibilities effectively and
accurately with close attention to detail. 9. Follow oral and
written instructions.10. Maintain confidentiality of materials and
information.11. Work independently as well as part of a team.12.
Type 55 WPM.Distinguishing CharacteristicsBilingual skills -
Spanish or Cantonese highly preferredPhysical Requirements:The
