POSITION SUMMARY: The Compliance Administrative Assistant provides secretarial and clerical support to the General Counsel in areas of correspondence, policies and procedures, contract management, office support (filing, copying, etc.) and other interdepartmental communications while also ensuring their accuracy, quality and integrity. They will also assist in reviewing, editing, and formatting, policies and procedures and other forms or documents. SPECIFIC DUTIES: Provide administrative secretarial support Attend, record, or prepare minutes of meetings and make appropriate preparations for the meeting including handouts and meals/refreshments as necessary Prepare and distribute documents and protocols to appropriate staff Custodian of all CMC policies and procedures. Assist in updating and maintain policies and procedures manuals. Custodian of all CMC forms. Create and/or update forms. Track, log, route, and archive documents to the appropriate parties Assist in the preparation for site visits from HRSA including the managing of documents required to be reviewed by HRSA review team/auditors Review, edit, and format documents and initiate/manage document workflows Store, manage, and track company documents Scan, image, organize, and maintain documents Coordinate the triennial/annual review of documents Collaborate with CMC staff as needed during the document revision, policy revision or contract management process Provide training to educate staff on updates to policies, procedures, or other new protocols Work with CMC Leadership to ensure all policies and procedures are reviewed and updated in a timely manner consistent with HRSA and Joint Commission requirements Assist frontline staff in ensuring current forms are used, help operations and nursing departments to develop or improve forms Provide back up support during supervisors absence to assure appropriate referral to delegated authority or resolution Compose, type, and file correspondence, reports, and other documents Handle confidential information and matters of discretion in a professional manner Organize travel arrangements Perform other general secretarial duties as deemed necessary and approved by supervisor Answer telephone calls and greet visitors Responsible for special projects as directed Perform other duties as assignedQualifications MINIMUM REQUIREMENTS AA degree with 5 years of administrative assistant experience, 2 of which must be at the executive management level with preference for experience in health care facilities Advanced knowledge of word processing and forms development software, including MS Office, Adobe, Policy Tech and contract management software Ability to communicate in English written and verbal, at college level Ability to word process at 70 wpm. Applicant to provide certificate Valid California Driver's license, proof of insurance and personal transportation PERFORMANCE REQUIREMENTS Knowledge, Skills, and Abilities Knowledge of organization policies, procedures and systems Knowledge of office management practices Knowledge of secretarial procedures Review and edit reports and correspondence Ability to proofread written materials to identify errors in punctuation, spelling and grammar Ability to prioritize and maintain adequate progress of work on assignments and project Ability to plan, organize, and complete work rapidly and efficiently Ability to handle difficult situations with minimal instructions Ability to compose correspondence based on policy, protocols, procedures and guidelines Ability to keep complex records and prepare reports Ability to interact with the public and staff in situations requiring tact, diplomacy and poise Ability to schedule meetings and conferences and coordinate appropriately with all parties Ability to operate a word processor and advanced knowledge of software applications such as Microsoft Office and Adobe Pro Ability to multi-task TYPICAL PHYSICAL DEMANDS: Requires prolonged sitting, some bending, stooping and stretching. Requires eye-handcoordination and manual dexterity sufficient to operate a keyboard, photocopier,telephone, calculator and other office equipment. Requires normal range of hearing and eyesightto record, prepare and communicate appropriate reports. Requires lifting papers or boxes up to25 pounds.
